Challenge

ScottMadden implemented a finance shared services operating model for a $12 billion global wood products manufacturer. This shared services implementation included the standardization, centralization, and automation of the AP process. Facets of this project included current state assessment, RFP design and deployment for automation solutions, system implementor selection, service delivery requirements gathering and selection, service level agreements, workflow design, organizational design, vendor master data management, and facilities planning.

Process

  • Assessed enterprise AP performance across six central business units and conducted benchmarking analysis to measure improvement opportunities
  • Interviewed approximately 35 AP stakeholders and deployed work activity assessments and voice-of-the-customer surveys to nearly 225 employees to establish baseline metrics and performances measures
  • Conducted current state and gap analysis to inform future state process design, streamline work across business units and geographic regions, eliminate pain points, and enhance performance
  • Aligned disparate processes across geographic regions using multiple enterprise resource planning systems and functional tools and business segments with varied methods and requirements
  • Executed and project managed the RFP process for AP automation platforms leading to a recommended solution and system implementor for AP automation

Result

  • Selection of an optimal AP automation vendor to integrate with the company’s current and future IT architecture
  • Formation of a centralized AP shared services to reduce process fragmentation, establish process ownership, and consolidate AP processing from more than 60 locations to a single service center
