Case Study: Developing an RFP for Outsourcing Warehouse Design

ScottMadden worked with a southeastern not-for-profit transmission cooperative to develop functional requirements for a new materials warehouse and develop an RFP to facilitate vendor selection.

Challenge
  • The client's warehouse was barely adequate for its existing needs, and its future needs were forecast to be significantly greater
  • The existing lease was scheduled to expire in a few years
  • Two of the client's sister companies expressed interest in building a warehouse to the client's specifications
  • The client needed an objective, third-party assessment of its needs, a vehicle to communicate those needs, and an objective method to evaluate the responses
  • ScottMadden was asked to help define the warehousing needs, develop an RFP for a new warehouse, and create a response template to facilitate vendor selection
Solution
  • Researched leading practices for warehouse design and layout
  • Measured current storage requirements and forecasted future storage requirements
  • Conducted interviews and facilitated meetings to refine functional requirements
  • Validated the functional requirements with the client's internal warehouse RFP team
  • Finalized the RFP and tool to evaluate vendor responses
Results
  • Identified clients business requirements for a materials warehouse
  • Created RFP background and questionnaire template to compare responses and simplify vendor selection process
  • Developed potential future warehouse designs to conceptually convey space and storage structure requirements to vendors
